When Your Crane Plan Falls Apart
At 6:47 PM on a Tuesday, a steel contractor called me. They had a 120-tonne column lying on the ground and a crew that needed to set it before the city shut down the road at 6 AM Saturday. Their planned crawler crane had thrown a track on another job. I had roughly 60 hours to get a Liebherr on site.
If you're ever in that position, you don't need a lecture about lifting statistics. You need a checklist. The 7-Step Emergency Crane Sourcing Checklist
Step 1: Get the actual lift details
Before you call anyone, write down the heaviest load, the radius at which you'll lift it, and the height (hook height or boom tip elevation). Also note the rigging—spreader bars, shackles, slings—because that adds weight. If you don't have those numbers, you're guessing. And guessing in an emergency costs money.
For example, the Liebherr LR 1160 is nominally a 160-tonne lattice boom crawler crane. But at a 30-metre working radius, with a 60-metre boom, its capacity might be well under half that. The LR 1800, an 800-tonne class machine, will have a much higher capacity at the same radius—but it's also a much more expensive machine to mobilize. You can't pick a model without knowing the exact lift.
Step 2: Match the capacity to the load chart
When a broker says "I've got a Liebherr 1160," ask for the load chart for that specific serial number. Not the model brochure. The brochure number is just the starting point. Load charts vary by configuration, counterweight, and condition.
This is where I made my own expensive mistake. Early in my career, I trusted a vendor who sent a load chart for an LR 1160 with full counterweight. But the machine they had was configured without the central ballast. The actual capacity at our working radius was 12% lower than the chart. We found out during the lift plan review. We were still able to adjust, but it cost us a day and a site-inspection fee.

Step 3: Verify the physical machine
This is the "real truck" moment. In an emergency, you might be tempted to accept a photo and a phone number. Don't. Ask for:
- Today's photos of the machine, including the serial number plate
- The current inspection certificate (TÜV or country equivalent)
- Service records for the hoist, swing, and travel limits
- Insurance confirmation
Why? Because a rental company's "available" list isn't always up to date. I once booked an LR 1160 for a Sunday charter lift, and on arrival, the "available" machine was sitting in pieces with a broken final drive. The vendor was apologetic, but the client still paid the crane owner a cancellation fee.
Step 4: Confirm counterweight, boom, and jib
A crawler crane is not a one-size-fits-all machine. The LR 1800 can be rigged with a main boom, a luffing jib, a derrick system, even a fixed fly. Each setup has a different assembly time and trucking requirement.
For the LR 1160, the standard configuration will have a certain amount of counterweight that can be transported in a few loads. For the LR 1800, the counterweight alone can weigh more than the entire LR 1160. Add the boom components and you're looking at dozens of truckloads. So, when you call, ask: "What's the exact configuration, and how many trucks will it take to deliver it?"
The surprise isn't the crane's price tag. It's how many hidden costs come with the larger machine—permits, escorts, road closures, and a much bigger staging area.
Step 5: Estimate the TCO before comparing rental rates
This is the advice I give every client who starts with "What's the daily rate?" The daily rate is one number. The total cost is another, usually more important, number.
Let's say you can rent the LR 1160 for $4,500 per day and the LR 1800 for $6,000 per day. The LR 1800's rate is only 33% higher. But consider the whole job:
- Mobilization: the LR 1160 needs maybe 3 trucks; the LR 1800 needs 12+ truckloads
- Permits and escorts: the LR 1800 likely needs a wide load permit and pilot vehicles
- Assembly and disassembly: the LR 1800 takes 2-3 days longer with a crew of 6
- Ground preparation: the LR 1800's track pressure may require heavy mats or a stone bed
When you total it, the "cheaper" LR 1800 can be more expensive than the "expensive" LR 1160 if the job doesn't actually need the extra capacity. That's the total-cost thinking that saves you from a bad emergency decision.
Step 6: Check transport and site access
You can have the perfect crane 100 km away, but if the streets between the yard and your site have a narrow bridge, you're stuck. Always ask the rental coordinator: "What's the heaviest single load? What's the longest trailer? Does the route have any low bridges or weight limits?"
On a job in 2023, I found an LR 1800 available just 150 km from a refinery. The catch: the route required a police escort and a special permit, and the permit window was 3 days out. The client's alternative was a smaller LR 1160 from 60 km away, which could start work the next morning. We went with the smaller crane, and it did the job.
Step 7: Build in a buffer
Whatever the vendor promises, add at least 20-30% to the schedule. When I'm triaging a rush order, I double-check every date. The machine could be late, the load chart could be in the wrong language, the paperwork might not be signed. I've seen jobs where the crane arrived on time but the counterweight was sent to the wrong yard even though they were both on the same truck.
If possible, book the crane for the day before your required lift. Yes, you pay for an extra rental day. But the cost of one idle day on site is usually far higher than a single crane rental day.
What Most People Miss (And Why It Costs Them)
The most common mistake in an emergency is skipping the verification steps because you're afraid to lose time. I only believed that after it cost me. Once, I accepted a "verified" machine based on a broker's load chart. We had to rebook the lift at the last minute, paid $800 extra in rush fees, and the client never trusted that vendor again. The $800 was small; the relationship damage was not.
So, do yourself a favor. Treat the load chart like a bank check. Verify it before you accept the machine. And if you're comparing quotes, compare the total cost—not just the daily rate.
